Food Partner and Vendor Coordinator (Full-time)

We are looking for a partner and vendor manager to manage relations with local producers (i.e., vendors), inventory management, and our web-based ordering system. 
This is a full-time on-site role as a Partner and Vendor Manager at FreshFix in Buffalo, NY. This person will also be responsible for managing communications with existing wholesale and special project customers. They will work with these partners to determine food needs and then working with our food vendors to source appropriate products.  This role will report directly to the general manager/owner.  

Primary Responsibilities 

  • Vendor relations 
  • Build and maintain relationships with local food producers (i.e., vendors) 
  • Identify new vendors to meet customer needs 
  • Work with vendors to complete New York state production certification paperwork 
  • Manage product descriptions on website and support marketing team in product advertisement 
  • Work with Management to identify and recruit new accounts 
  • Inventory Management 
  • Place food orders to meet current sales needs 
  • Forecast product needs based on upcoming orders 
  • Configure inventory software to ensure agreement with physical inventory 
  • Perform inventory cycle counts as needed 
  • Website/software management 
  • Configure point of sale software to accommodate project needs 
  • Become a Subject Matter Expert (SME) on inventory/ordering software 
  • Develop custom boxes for partners 
  • Partner communications  
  • Send weekly product availability e-mails to customers 
  • Receive/Respond to phone/text/email 
  • Wholesale customer service and communication

Required Skills  

  • Excellent communication skills 
  • Ability to quickly learn new software and troubleshoot problems 
  • Adept with Office Suite of products, including excel spreadsheets 
  • Valid driver’s license 
  • Knowledge of procurement processes 

Preferred Skills and Education 

  • Knowledge of local foods and food systems 
  • Bachelor's degree in Business Administration, Supply Chain Management, or related field 

Working Conditions and Physical Requirements 

This position is at our Food Hub, which is a warehouse environment.  The position requires accessing refrigerated sections for inventory.  Specifical physical requirements include lifting and carrying up to 40 lbs, operating equipment (pallet jack, freight elevator), bending, reaching and grasping, standing for extended periods and walking and using stairs. 

Marketing Coordinator (Part or Full-time)

Our business is growing and we are looking for someone to help us create stronger connections with new and existing customers.  You will be focused on creating and delivering engaging and educational content about local food and those who grow and make it.  The position will also play a support role with creating and executing a three-year local food media campaign (EatLocalWNY).   This is a mostly remote position, working 20 hours per week, with the potential to be a full time role for the right candidate. Additional duties will be required with full-time employment.   The Coordinator will need transportation as they will be required to attend occasional meetings at the FreshFix office in downtown Buffalo and may need to drive to farmer/producer locations as well.    

Primary Responsibilities 

  • Work with team to create and manage an annual content calendar    
  • Executing email campaigns and social media posts and ads 
  • Manage customer autoresponder emails  
  • Update the Featured Products section of the website every week  
  • Create other Marketing Collateral when needed 

Required Skills:  

  • Strong writing skills  
  • Experience with social media   
  • Comfortable with technology and likes to figure out how things work 

Preferred Skills and Education: 

  • Prior experience using an email marketing platform  
  • Knowledge of local foods, food systems and/or nutrition
  • A passion for cooking or healthy eating  
  • Bachelor's degree in Marketing, Communications or related field 

 

Community Outreach and Delivery Coordinator (Full or Part-time)

The community outreach and delivery coordinator will be responsible for engaging Buffalo communities with limited access to fresh food. The goal of this position is to inform, educate, and engage community members around local food, specifically fresh fruits and vegetables. Coordinators will create an open dialogue with customers to ensure that FreshFix is helping make it easy for them to get the foods they want and need.   This is an in-person onsite position and may be full or part-time (minimum 10 hours/week). The schedule is flexible; however, availability on Wednesday and Thursday is required; occasional night and weekend hours may be required for attending community events. 

Primary Responsibilities 

  • Identify and attend community events geared at outreach and education in order to make FreshFix (and local produce in general) more available to a wider group of customers.  
  • Educate potential and existing customers about where their food comes from and the importance of supporting the local food system when possible.  
  • Build relationships with current and potential FreshFix members and understand their needs. 
  • Deliver orders within the City of Buffalo using FreshFix vehicle and technology. 
  • Assist new and existing members with using the FreshFix system to bridge any accessibility gaps with technology when necessary; accept orders by phone as needed 
  • Learn and utilize system for accepting SNAP/EBT payments. 
  • Lead by example by being positive about FreshFix and WNY agriculture, as well as systems and procedures that are in place to provide a good experience for our members. 

Required Skills 

  • Excellent customer service skills 
  • Ability to lift up to 40 lbs. 
  • NYS driver’s license and clean driving record; willing to drive a van 
  • Excellent verbal and written communication skills 
  • Ability to engage  
  • Experience interacting with people from different backgrounds

Preferred Qualifications 

  • Good knowledge of local food systems or local fruits and vegetables 
  • A passion for cooking or healthy eating 
  • Strong connections to historically underserved communities in the City of Buffalo
